Assistant, Sales & Administration

Full time

Reporting to the VP and Regional General Manager – Central Canada, this position consists in acting as the general go-to person for all office related inquiries as well as offering sales support for the Account Executives, when needed. This person is also responsible for a variety of administrative duties relating to sales activities as well as the reception duties.


  • Welcomes visitors in a courteous manner, answer calls, etc.;
  • Prepares the agenda, meeting minutes and presentations for the sales meeting;
  • Fills out purchase orders and cheque requisitions and follows-up on them;
  • Sorts the faxes and mail, and makes sure all messages and communications are distributed to the appropriate people;
  • Coordinates the courier service (ex. Fedex, Civa, Post Canada) and buys stamps for office;
  • Manages office supplies inventory and places orders through Lyreco;
  • Efficiently follows opening and closing procedures of the office;
  • Orders coffee, cleans and stocks the kitchen, the conference rooms and the stock room – Orders catering for client meetings;
  • Keeps a log of reservations for the conference room;
  • Fills out timesheets for the office and sends it to HR department every two weeks;
  • Tracks whereabouts of Account Executives and Account Managers;
  • Sets up a workstation for new employees and visitors (clean desk, assign computer, phone);
  • Coordinates phone system by creating and forwarding voice mailboxes;
  • Issues/coordinates the door pass cards and parking passes with IT, Finance and HR;
  • Coordinates office maintenance with appropriate people;
  • Manages and tracks the office maintenance budget;
  • Assists HR (new employees) and IT (PC’s, faxes, printers & photocopiers, etc.) when needed;
  • Assist the sales with any other related requests.


Required Qualifications

  • College diploma in Business Administration, Advertising, Marketing or Communications or any other relevant diploma;
  • 1 years of experience in an office assistant or administrative assistant position;
  • Proficient in Microsoft Office;
  • Resourceful and has good judgment;
  • Autonomy and initiative;
  • Great organization skills;
  • Discreet and professional;
  • Great communication skills
  • IT savvy (asset).
